Login and User Viewability:
Log in through https://athenanet.athenahealth.com. Type in your username and password (hint: username is likely first initial, last name, +/- number).
Please note that all people with Athena login credentials haveaccess to this EMR from any computer anywherewith internet access, so notes may be completed at home when necessary. However, in accordance with HIPAA law, patient information should only be accessed when clinically appropriate. Athena tracks all users for cases of inappropriate use.
Note: You must change your password every 3 months. We suggest just changing the last number at the end of your password to keep it simple and memorable. Please keep your password in a place you will remember.
Confirm correct EMR view (Clinician vs. Non-Clinician) - only need to do this once and then it will remain the same for future use
Click on your username in the upper right-hand corner, and you will be able to select your status (I.e. non-clinician = registration; clinician = all others)
Viewing the Clinic Schedule:
On the EMR landing page, you will see this box in the middle of your screen:
To view the correct schedule, click the “plus” sign (right corner), and then click on the clinic sites in which you volunteer. If you do not see your clinic site, click the arrow next to “departments” to view all clinics. (Note: only need to do this once and then it will remain the same for future use.)
Select the correct date, and the schedule for the selected date will appear.
Schedule color-coding (note: non-clinicians do not have color coding):
Purple = arrived
Orange = ready for staff (aka ready for triage)
Light green = ready for provider
Darker green= with provider
Grey = check-out
Communication within Athena:
Sending instant messages
Click the message box (see below) in the bottom right-hand corner to send confidential clinical messages to other SMLC Athena users.
“Post-it note” notices
At the top each patient’s chart is a yellow exclamation point where you may include information that would be helpful to know immediately when seeing a patient (I.e. patient is hard of hearing, or patient needs water immediately upon check-in, etc.)
Creating a “patient case” (internal message in patient chart)
In the corner of a patient’s chart, click the block symbol (“hamburger”) in the corner and select “Create a patient case.”
Type in Source/Recipient (who the message is from) and all relevant information (including provider, subject, call back number, and case description). Then select “Leave in DataEntry to [name of message recipient],” and click Save.

Tips about the Patient Chart:
Viewing archived files from MDRhythm
Within each chart has a button for “Ellkay” that allows you to review archived notes (from MDRhythm) for each patient in the upper right-hand corner. Click on “third party applications,” and then select “St. Mary’s Legacy Clinic,” and the patient’s archives will appear.
“Structured” vs. Free-text
Most areas have “structured” vs. Free-text available (I.e. if you prefer to fill in blanks, click “structured;” if you prefer to free-text everything, unclick “structured”)
Finding tricky items for Clinical Staff: if there is an item in the patient chart you have trouble locating, use the find feature at the top of the left column.

The circles to the right of a patient’s name show patient progress throughout visit.
